Events Specialist

In this role, you will be responsible for developing and executing the assigned marketing plan for the United Kingdom in line with company strategy to deliver the objectives.


  • Plan and oversee activities to ensure events run smoothly and successfully across all main channels of the business.
  • Provide clear requirements to venue partner, secure suitable venues within compliance, monitor all the logistic aspects and support recruitment strategies to meet capacities.
  • Responsible for the daily control of the Event Management Tool (in the company CRM) – creation and management of all campaigns.
  • Coordinate local event calendar preparations and roll out, manage event timelines.
  • High responsibility of event budget, create and control POs in the system - knowledge regarding invoicing, payments, budget breakdown, reporting and ROI measure, track forecast spend against budget proactively and ensure total event spend remains within the allocated budget.
  • Negotiate with suppliers and optimize funds.
  • Coordinate projects at tradeshows, launch events and forums, including setting up the infrastructure, liaising with organizers or partners and following up with all pre, during and post-show activities.
  • Acts as a main point of contact between internal teams and external partners.
  • Assist with event kits composition and materials forecasts: Work with operations/logistics to manage and share information focusing on guarantee all materials arriving in the events in proper time and costs.
  • Oversee planning and execution of large and smaller scale local congresses including coordination of sponsorship opportunities, congress logistics, team coordination, speakers logistics and accommodation.
  • Assist with speakers and KOL’s management (contracts, invoices, meeting preparations and troubleshooting).
  • Support communication event campaign and contribute with the development and execution of communication plans within the marketing strategy in collaboration with the strategy lead.
  • Ability to handle frequent meeting and solve problems with partners and the EMEA team using English (written and spoken) in a daily basis.

About You

  • University degree in Marketing, Events, Communication or similar
  • 3+ years minimum experience in event position
  • Experience in the healthcare device industry preferred or event agency experience
  • IT Microsoft office (high level in Excel). Strong knowledge on Salesforce platform, CRM, event management tools and SAP preferable
